Depending on the circumstances, Baeyo Digital processes personal information under one or more of the following legal bases:

Steps before entering into a contract or performing a contract

We process information needed to answer service enquiries, discuss requirements, prepare proposals and deliver agreed services.

Legitimate interests

We may process information where reasonably necessary to:

  • Manage enquiries and customer relationships
  • Organise follow-up activities
  • Maintain appropriate business records

Consent

Where processing depends on your consent, such as optional marketing communications or non-essential cookies, you may withdraw that consent at any time.

Withdrawing consent does not affect processing that was lawful before the withdrawal.

6. How the enquiry workflow operates

When you submit the Baeyo Digital enquiry form, an automated Microsoft 365 workflow may:

  1. Retrieve your submitted form response.
  2. Create an enquiry record in Baeyo Digital’s SharePoint Client Enquiries list.
  3. Send you a confirmation email.
  4. Notify the Baeyo Digital owner through Microsoft Teams.
  5. Create a follow-up task in Microsoft Planner.
  6. Send an internal notification if the workflow encounters an error.

This automation organises enquiries and follow-up activities. It does not make decisions about you, automatically accept or reject your enquiry, or determine whether Baeyo Digital will work with you.

7. Who may receive your information?

Personal information may be accessed or processed only where necessary by:

  • Baeyo Digital and authorised persons working on its behalf
  • Microsoft, through services such as Microsoft Forms, SharePoint, Outlook, Teams and Planner

Service providers are permitted to process information only for the relevant service and subject to their applicable contractual and data-protection obligations.

8. International data transfers

Some service providers may process information in countries outside Finland or the European Economic Area.

Where personal information is transferred outside the European Economic Area, Baeyo Digital will rely on an appropriate legal transfer mechanism where required, such as:

  • A European Commission adequacy decision
  • Standard Contractual Clauses
  • Other safeguards permitted under applicable data-protection law

The precise processing location may depend on the service provider, account configuration and technical support requirements.

9. How long we keep your information

Baeyo Digital keeps personal information only for as long as reasonably necessary for the purpose for which it was collected.

The retention period may depend on:

  • Whether the enquiry develops into a customer relationship
  • Whether a proposal or service agreement is created
  • The duration of an active project or Monthly Care service
  • The need to manage follow-up communications
  • Applicable tax, accounting, contractual or legal requirements
  • The need to establish, exercise or defend legal claims

Enquiries that do not develop into a customer relationship will be reviewed periodically and deleted when there is no longer a reasonable business or legal need to retain them.

When information is no longer required, it will be deleted, anonymised or securely disposed of where reasonably practicable.

Baeyo Digital may use cookies or similar technologies that are strictly necessary for:

  • Basic website functionality
